Recently, we have added various automations to vPlan, have you discovered them yet? Read in this blog how you can save time with automations.

Automations offer many possibilities to make planning even easier. Do you want to do even less manual work and save more time? With our new automations, you can achieve this easily.

The latest automations in vPlan ✨

The simple automations are already known to you, but we are going even further. So, put on your nerd glasses and brace yourself for some real content... 🤓

When the status of a card in phase "X" changes to "X", add/remove related resource "X".  

This is useful, for example, when you want to automatically link a card with the status 'quality control' to a specific resource. Or when a card gets a certain status, the linked resources are automatically removed. These can then be picked up by a new resource.

When the status of a card in phase "X" changes to "X", add/remove label "X" (extension).

This is an extension of the existing automation. Initially, it was only possible to add a label. Now, a label can also be removed when a card gets a certain status.

When label "X" is added to a card in phase "X", change the status of the card to "X".  

Based on this, a label (feature) can cause the card to get a certain status. This way, work processes can be further streamlined. For example, if you have completed a part in phase 1, allowing your employees in phase 3 to start with the preparation. The status of the card changes to 'Preparation', for instance, when you add the label 'Phase 1 completed'.

When extra field "date" "X" days/business days before/after today, add/remove label "X" from card.

Suppose: you have a task with a deadline within a week. With this automation, you can automatically add a label 'priority' to this task if the deadline is in 5 days. If you then filter on this label, you will get a display of all priorities.

When a collection is scheduled from the backlog, change the status of the first card to "X".

We see that many customers use this automation when the cards within the backlog have the status 'open', and they get the status 'released' when they are scheduled.

New automations for sub-cards

We have also added various automations for sub-cards. The following image mentions a few.

For example, main tasks can automatically get the status 'completed', when all sub-cards also have the status 'completed'.

4 Frequently used automations

Besides the new automations, our consultant Anne highlights 4 frequently used automations.

  1. Notifications for upcoming deadlines. Be automatically notified when a deadline is approaching. For example, receive a notification three days before the deadline.

  2. See the estimated hours for standard tasks. You make three types of tables. As soon as a new task comes in with a request for table 'type 1', you create the task and label it 'type 1'. Then, all activities with pre-calculations are added to the card to manufacture table 'type 1'.

  3. Let sub-cards determine the duration of the entire project. Imagine: you are working on project 132 consisting of three sub-cards. You can't complete the last sub-card on time, and the end date shifts. Use the automation for sub-cards to shift the end date of the entire project. This way, the length of the main card is automatically adjusted to the sub-card.

  4. Prioritize a project with multiple cards. Suppose: you add the label 'priority' to a card within project 2342, automatically add the label 'priority' to all cards within project 2342.
