We understand that you want to get started as soon as possible. We'll help you make the most of vPlan in five steps. Depending on the processes involved, implementation can take six to eight weeks. This is because you'll be working with vPlan between appointments. Below are the steps of our implementation process: 'Getting Started.'
The Inventory
We start with an inventory. This is where we determine the starting points for the setup. This is important information for our consultants, as it helps them assist you with the planning setup as effectively as possible. During the inventory, we review the current processes and map out your planning requirements.
You can prepare for the inventory by considering the following questions:
- What are your objectives? What do you want to achieve?
- What are the pain points in your current planning process?
- Who should you involve internally? Who will be the key users?
- What does your (current) process look like?
- What do you want to plan?
- How many assignments do you want to plan each week or month?
- How do you want to view the planning? What overview is important to you?
- How do you want to roll out vPlan in the workplace?
- Are you integrating vPlan with existing software? Which data needs to be synchronized?
- Do you work with multiple planners? Before the implementation, reach a consensus on the plan process. With the introduction of vPlan, existing processes may be adjusted for efficiency. For example, the execution of tasks previously managed by a planner may now be handled by employees themselves.

Functional Setup
Through an online or on-site appointment, we'll work together with the key users to set up the vPlan environment. The process and planning requirements will be translated into solutions by our experienced consultants. Testing with vPlan can be done based on the initial setup.
During the functional setup, we'll cover the following aspects:
- Navigation within vPlan;
- Explanation of the different views;
- Explanation of the backlog;
- Explanation of the card functionalities;
- Planning of cards;

During the setup, we'll use 'Best Practices' because we've already digitized planning for hundreds of companies and know what works well for your business process. By setting up together, you'll also learn how configuration within vPlan works, making you self-reliant in the future to apply any adjustments and optimizations yourself.
Optimizing Setup
It's essential to have practiced enough with creating, scheduling, and assigning tasks before this appointment. Try to get an idea of the setup you want to use. For example, do you have enough insight into personnel capacity, or do you also want insight into bundled capacity?
By practicing this, you'll have a better understanding of the possibilities in vPlan. Based on these initial test findings, the vPlan setup will be further optimized. This includes the existing setup, as well as details such as automations and notifications. Key users will also receive further training. User functionalities will be reviewed, and tips & tricks will be discussed.
